Saving Resources: Resource Leveling with Primavera P6

Primavera P6 Leveling function

When a project is dependent on a limited amount of resources, Primavera P6 Professional’s Leveling function can be a useful tool in addressing overload situations.

The Leveler tool allows activities to be scheduled in a way that ultimately reduces or eliminates an over-commitment of available resources. This also applies to more than one activity within a project across many projects.

The Leveler can be a profitable tool to utilize in regards to capacity planning and running certain mock scenarios.

Determining priorities is the best place to start.

With Primavera, it is possible to determine priorities at the project level, activity level or both. Look for “Project Level Priority” under the general category of columns. Set a number and see how the project adjusts. The lower the number, the higher priority (think: one equals a top priority, two equals a high priority, etc.). The Leveler will calculate and move activities as the projects are being leveled.

Constraints can also be time sensitive, such as with a specific date.

If you do adjust the dates of the project you are trying to level without telling Primavera P6 Professional, the dates will return to their original position. To combat this, simply make the certain edits in “Level Resources,” “Schedule Options,” and the “Status” tab of the “Activity Details.” This will fix the start date for the activity to be in its new, proper location.

Retained Logic versus Progress Override Options in Primavera P6 rel. 15.2

Retained Logic versus Progress Override

The foremost priority during the development of project plans in Primavera P6 is the estimation of the network logic or sequence in which the processes occur. Then we come to Critical Path Method Schedule, which requires a clear representation of network logic. The critical path method schedule is derived from the network logic as well as activity durations.

Graphical Representation

Retained Logic implies that a sequence cannot be terminated until and unless the predecessor has been terminated. The duration of activity occurring ‘out of sequence’ is scheduled for execution once the predecessor finishes. Retained logic doesn’t disrupt the network logic.

Scheduling with Progress Override allows Primavera P6 to neglect the relationship between activities. It also schedules the remaining work of activities occurring ‘out of sequence’ from the data date. The second activity below is permitted to start before the predecessor finishes.

How to Modify Primavera P6’s Schedule Calculation Setting

In Primavera P6, you can find the ‘Schedule Options’ dialog box which allows users to choose from Progress Override, Actual Dates and Retained Logic for scheduling progressed activities. You can take a look at the demonstration of Retained Logic as well as Progress Override options in the screen shot below.

How many activities can you have in a P6 EPPM schedule?
[price-item item_number=”6″ category=”PRICE_TABLE_CATEGORY”]So, there is a lot of question as to how many activities you can have in a P6 schedule, specifically within the web interface of P6. We can put this to rest now!

How many activities can you have in a schedule (within in the P6 web interface)?

5,000 vs. unlimited. That is the question!

Primavera Installation & Integration Solutions

There is no limit to the number of activities you can have in a project.  The web can be limited for performance reasons.  There is an admin application setting that controls the number of activities that can be displayed in the Activity View.

In the Maximum Activities per Activity View field, enter the maximum number of activities that can display in the Activities tab of the Projects section.

If greater than 5,000, the Maximum memory allocated to Java Applets setting must be 128 or greater. The default is 5,000. Enter anything from 1 – 100,000.

Level of Effort Activity in Primavera P6
[price-item item_number=”6″ category=”PRICE_TABLE_CATEGORY”]effortLevel of Effort activity usually consists of short amounts of work that must be repeated periodically. A Level of Effort (LOE) activity has a duration which is determined by its dependent activities.

When to use Level of Effort Activity?

Level of Effort activities can be used for on-going tasks that depend on other activities. For example, you could assign level of effort activities for safety meetings (over the life of the project), clerical work, or even some aspects of project management. A project manager who manages one project or multiple projects may be assigned 1 hour/day to Level-of-Effort activities in each project to complete administrative tasks. Level of Effort is used to define the amount of work performance within a time and is measured in staff days or staff hours per day/week/month.

Note: LOE activities are not critical and therefore cannot “drive out” the finish of a project. Safety meetings don’t push the project’s finish date out, they merely span the life of the project.

Working with Level of Effort Activity in Primavera P6

The predecessors and successors are used to get dates and durations of level of effort activities performed. In order to automatically calculate these durations and dates, you need to assign FF relationship to successor and SS relationship to predecessor. After you add Level of Effort activity and create relationships, project must be rescheduled.

By default, Level of Effort activities in Gantt Chart are not visible. You must format Bars in a Gantt Chart in order to display level of effort activities.
